Law Firms problem 4: Clients feel ignored between milestones

Automatic client matter status updates from Clio matter stages

Verified with mocksLast tested 2026-10-27 · pricing checked October 2026

When someone moves a matter to a new stage in Clio, the client gets a short plain-language email about that stage and a note is added to the matter. If a matter has been quiet for 21 days, the client gets a 'still working on it, nothing needed from you' check-in. Emails never contain case facts.

The problem

Lack of communication is one of the most common client complaints to state bars. We found no reliable dollar figure.

Who it's for

Small US firms on a Clio plan with matter stages (listed from Signature up) whose clients often call or email asking 'any news?'.

Tools and monthly cost

ToolOfficial price
Clio Manage (you probably already pay for it)Starter from $49 / user / month; Core, Signature and Elite are quote-based. Make sure your plan includes API integrations (third-party guides report the entry plan does not). Matter stages are listed from Signature up pricing page
Resend (sends the emails)Free: 3,000 emails / month, 100 / day. Pro: $20 / month for 50,000 pricing page
n8nCommunity Edition: free if you self-host (you pay for the server). n8n Cloud: from EUR 20 / month (Starter) or EUR 50 (Pro) pricing page

Example month: Illustrative: 60 open matters, about one stage change or check-in each per month = 60 emails (Resend free). Added cost: n8n only. Matter stages need a Clio plan that includes them (listed from Signature up).

Setup

  1. Create a Clio API app with read access to Matters and Contacts and write access to Notes; connect it in an n8n OAuth2 credential.
  2. Edit STAGE_TEXT in the 'Decide' node so every one of your Clio matter stage names has a plain-language sentence. Unknown stages get a generic sentence.
  3. Set NO_NEWS_DAYS (default 21), ATTORNEY_EMAIL (replies go there) and FIRM_FROM_EMAIL.
  4. Run it once by hand: the first run only records where each matter stands and sends nothing. Then turn on the weekday 08:00 schedule.

Test result

Every workflow was imported into n8n 2.45.4 and run end to end on our test machine. Clio Manage (API v4), Clio Grow, the email sender (Resend), Outlook (Microsoft Graph), Twilio and Stripe were replaced by a local mock server built from their official API docs: it checks the same request shapes and required fields, enforces Clio's rate limit (HTTP 429) and records every call. These recipes use no AI model; every decision is a written rule you can read. Matters, clients and invoices are invented. Nothing was sent to a real phone, client or account. The billing recipe was also run once against a real Stripe test-mode sandbox (no money moves).

5/5 scenarios passed (run 2026-10-27)

PASSU1First run only records where every matter stands - no emails
PASSU2Paralegal moves Gonzalez to Settlement drafting: client gets a plain-language update, Clio gets a note
PASSU3Nothing changed: no repeat email
PASSU4Three weeks of silence: 'still working on it' check-ins to the quiet matters only (Gonzalez was updated 20 days ago)
PASSU5Next day: Gonzalez now hits 21 quiet days and gets her check-in; nobody gets a repeat; a Clio 429 mid-run is retried

Actual output from the test run

Client email in scenario U2 (stage moved to Settlement drafting). Names and numbers are invented.

Verified with mocks

  • First run records every matter's stage and sends nothing.
  • A stage change sends one plain-language email to the client and adds a Clio note; re-runs don't repeat it.
  • Quiet matters get a check-in after 21 days, counted from the last update or stage change; recently updated matters are skipped.
  • Clio 429 rate-limit replies are retried.

Documented from official API docs only

Built to the vendor's documentation but not run against a live account. Check these on yours.

  • Clio Manage API v4 matters (matter_stage, matter_stage_updated_at) and notes endpoints (from Clio's developer docs).

Limitations

  • Clio's Core plan and up now advertise AI-drafted client updates. If you already use that, you may not need this.
  • Emails say only the stage name and a fixed sentence. Anything specific to the case should come from the attorney.
  • The workflow's memory of what it already sent lives in n8n's workflow data; re-importing the workflow resets it (the next run is a silent baseline again).
  • These workflows are tools, not legal advice. Check your state's rules on advertising, client communication, trust accounting and texting before you turn one on.
