Law Firms problem 2: Invoices go unpaid and retainers run dry before anyone notices
Invoice reminders with pay links + trust retainer top-up alerts (Clio, Stripe, LawPay)
Every morning the workflow checks Clio for overdue bills. Earned-fee invoices get a polite reminder with a card payment link (Stripe, paid into your operating account). Trust deposit requests and low-retainer top-ups always use your LawPay trust link, never Stripe. Anything 30+ days late goes to the attorney instead of another automatic email.
The problem
Work that is recorded but never collected is lost revenue. Clio's own benchmarks show how much of the day's billable time is never invoiced or collected.
- Clio's 2025 benchmarks: of about 3.0 hours recorded per 8-hour day, about 2.6 are invoiced and about 2.4 are collected. Source: Clio blog: How to find bottlenecks in your law firm (2025 Legal Trends benchmarks) (Vendor blog citing its own report data; read via search excerpt)
- ABA Model Rule 1.15(c): advance fees go into the client trust account and may be withdrawn only as earned. Your state's version governs. Source: ABA Model Rule 1.15: Safekeeping Property (Model rule text (your state's version governs))
- Connecticut Informal Opinion 2014-02: card processing fees must not be taken from client funds held in trust; the opinion suggests separate merchant accounts for trust and operating. Source: Connecticut Bar Association, Informal Opinion 2014-02 (credit card fees and trust accounts) (State bar ethics opinion; read via search excerpt)
- Clio's LawPay integration ended on August 31, 2026. LawPay still works on its own, but its payments no longer sync into Clio Manage and have to be recorded there by hand. Source: Clio Help Center: Activate Clio Payments (updated Sep 9, 2026) (Vendor help page)
- Clio runs two bill-reminder systems (automated bill reminders, and bill-reminder Workflows that need Clio Payments). Clio's own help warns that with both on, a client can get two reminders for the same bill. Source: Clio Help Center: Send Bill Reminders With Workflows (Vendor help page)
Who it's for
Solo and small US firms on Clio that bill hourly or take retainers and chase payments by hand.
Tools and monthly cost
| Tool | Official price |
|---|---|
| LawPay (trust-safe card and eCheck payments) | $19 / month; Visa, Mastercard, Discover 2.99% + 30c, Amex 3.90% + 30c, eCheck 1% pricing page |
| Stripe card payments (Payment Links have no extra fee) | 2.9% + 30c per successful US card payment pricing page |
| Resend (sends the emails) | Free: 3,000 emails / month, 100 / day. Pro: $20 / month for 50,000 pricing page |
| n8n | Community Edition: free if you self-host (you pay for the server). n8n Cloud: from EUR 20 / month (Starter) or EUR 50 (Pro) pricing page |
| Clio Manage (you probably already pay for it) | Starter from $49 / user / month; Core, Signature and Elite are quote-based. Make sure your plan includes API integrations (third-party guides report the entry plan does not). Matter stages are listed from Signature up pricing page |
Example month: Illustrative: 40 open invoices, 3 reminders each = 120 emails (Resend free). LawPay $19 a month for trust deposits. Stripe charges only when a client pays by link: a $1,000 card payment costs $29.30 in Stripe fees, paid from your operating account. Total fixed cost about $19 a month plus n8n; card fees depend on what clients pay.
Setup
- Create a Clio API app with read access to Bills, Matters, Contacts and Trust (or Bank Accounts) and connect it in an n8n OAuth2 credential.
- In LawPay, create a payment page that deposits into your trust (IOLTA) account and put its URL in LAWPAY_TRUST_URL. LawPay deposits trust payments in full and takes fees from your operating account; confirm that setting with LawPay. Clio's LawPay integration ended on Aug 31, 2026, so these payments no longer sync to Clio: record each trust deposit in Clio by hand.
- Prefer trust payments inside Clio? Clio Payments is Clio's built-in option: it handles trust and operating payments and records them on the matter (Clio lists 2.95% for standard cards and 1% for ACH/eCheck). Put a Clio Payments trust payment link in LAWPAY_TRUST_URL instead; the variable is just a URL.
- In Stripe, create a restricted key that can only write Prices and Payment Links and read Checkout Sessions, and store it in an n8n credential (never in the workflow). Use it only for earned fees paid into operating.
- Set FIRM_FROM_EMAIL, ATTORNEY_EMAIL and BOOKKEEPER_EMAIL, and adjust the reminder days (default: 7, 14 and 21 days past due, then hand off at 30).
- Run it once with the schedule off and read the attorney summary before letting it email clients.

Test result
Every workflow was imported into n8n 2.45.4 and run end to end on our test machine. Clio Manage (API v4), Clio Grow, the email sender (Resend), Outlook (Microsoft Graph), Twilio and Stripe were replaced by a local mock server built from their official API docs: it checks the same request shapes and required fields, enforces Clio's rate limit (HTTP 429) and records every call. These recipes use no AI model; every decision is a written rule you can read. Matters, clients and invoices are invented. Nothing was sent to a real phone, client or account. The billing recipe was also run once against a real Stripe test-mode sandbox (no money moves).
6/6 scenarios passed (run 2026-10-27)
| PASS | B1 | First sweep: 7-days-late invoice gets a Stripe link, trust request gets the LawPay trust link, 31-days-late invoice goes to the attorney |
| PASS | B2 | Second run the same day sends nothing new |
| PASS | B3 | A week later: reminder #2 reuses the same link, the newly overdue invoice gets one, and a low trust balance triggers a top-up request |
| PASS | B4 | Paid invoice stops; others move one step; top-up re-sent after 7 days |
| PASS | B5 | Partial payment: the old single-use link is switched off and the last reminder carries a new link for the new balance |
| PASS | B6 | Clio answers 429 (rate limit): the run waits, retries and finishes; T-0007 reaches 30+ days and goes to the attorney |
Live Stripe test mode (Clio + email mocked): 1/1 scenarios passed (run 2026-10-27)
| PASS | B1 | First sweep: 7-days-late invoice gets a Stripe link, trust request gets the LawPay trust link, 31-days-late invoice goes to the attorney |
Actual output from the test run
Emails sent in scenario B1 (mock run; payment link is a mock). Names and numbers are invented.

Verified live in Stripe test mode (2026-10-27)
Real Stripe API in test mode (sandbox, no real money). Clio and the email sender were still mocked.
- Scenario B1 was run against a real Stripe test-mode sandbox using a restricted test-mode key: the overdue $1,850.00 invoice got a real Price and single-use Payment Link, and the email carried the real buy.stripe.com test link (redacted in the published results).
- The trust deposit request in the same run used only the LawPay link; nothing about it was sent to Stripe.
- No money moved and no email went to anyone; Clio and the email sender stayed mocked.
Verified with mocks
- Reminder ladder: one email per step, nothing repeated when the workflow re-runs the same day, hand-off to the attorney at 30+ days.
- Trust deposit requests and low-balance top-ups always use the LawPay trust link; Stripe is used only for operating invoices.
- Payment links are reused across reminders; a partial payment switches the old single-use link off and the next reminder carries a link for the new balance.
- Paid invoices stop getting reminders; top-up requests are re-sent at most every 7 days.
- Clio 429 rate-limit replies are retried; no API key appears in any email.
Documented from official API docs only
Built to the vendor's documentation but not run against a live account. Check these on yours.
- Clio Manage API v4 bills, matters and trust balance fields (from Clio's developer docs).
- LawPay: we link to your own LawPay payment page; we did not call LawPay's API.
- Clio Payments: not tested; the trust link is just a URL, so a Clio Payments link should work the same way. Check it on your account.
Limitations
- Clio already has its own bill reminders: automated bill reminders, and bill-reminder Workflows (these need Clio Payments). Clio warns those two can double-send, and turning this recipe on as well can mean a client gets the same reminder two or three times. Pick one: switch Clio's reminders off if you use this recipe.
- If you use Clio Payments and only need reminders for unpaid bills, Clio's built-in reminders are enough and you don't need this recipe. It adds a 30-day hand-off to the attorney, low-retainer top-up alerts and Stripe links for firms not on Clio Payments.
- LawPay payments no longer sync to Clio since the integration ended on Aug 31, 2026; whoever keeps the books has to record them in Clio.
- Never send a Stripe link for a retainer or any unearned fee. Stripe takes its fee out of the payment, which most state rules forbid for trust money.
- Trust rules differ by state. This is not legal or accounting advice; check your state bar's guidance.
- The low-balance threshold is one number for all matters; edit the code node if you need per-matter thresholds.
