Rent reminder email and text templates (and when to send each one)

Copy-ready rent reminder wording for small landlords: before the due date, after it, partial payments, failed bank payments and receipts, taken from our mock-tested recipes, plus the state-law caveats on late fees.

The awkward part of rent reminders isn't writing them. It's sending the "rent is due" message to the whole building and then hearing from three people who paid last week. This post is a template library: five messages, the moment each one goes out, and the exact wording our rent reminder ladder and rent payment receipts recipes produced in testing. Use the wording by hand, or let the recipes send it. More on the property management hub.

Before you copy anything: two facts and one rule

Most renters already pay online. Buildium's 2025 Property Management Industry Report (a vendor survey of 1,507 renters and 1,796 property managers) found 75% of renters would prefer to pay rent online or via card and 58% already do (Buildium report, PDF). So every template below carries a pay link.

Email first. The same report found email is renters' preferred way to hear from their property manager, and texting's popularity has fallen since it spiked in 2023. Texts are an extra for tenants who asked for them.

Late-fee rules are local. Grace periods, fee caps and notice requirements vary by state and sometimes by city. None of these templates states a fee. If your lease has one, add your own sentence, after the due date only, and have it checked. We're not lawyers.

The schedule at a glance

When Who gets it Template
3 days before the due day Every unit with a balance 1. Friendly reminder
1 and 5 days after Units still open 2. Balance reminder
1 and 5 days after, partial payers Units with part paid 3. Partial payment
When a bank payment fails That tenant 4. Payment didn't go through
When a payment arrives That tenant 5. Receipt

Every day and amount is a setting in the recipe. Paid units, and bank payments still processing, get nothing (scenario PM3-03).

Template 1: friendly reminder (3 days before)

From test scenario PM3-01 (invented tenant):

Hi Rosa, a friendly reminder from Elm Street Property Management: March rent for 12-4B ($1,250.00) is due Monday, March 1. Pay online: [your pay link] Already paid? Thank you, and please ignore this.

No late-fee wording appears before the due date. The text version ends "Already paid? Thanks! Reply STOP to opt out." and goes only to tenants who opted in.

Template 2: balance reminder (after the due date)

Hi [first name], our records show [balance] of [month] rent for [unit] still open (due [weekday, month day]). [Your own late-fee sentence, if any.] Pay online: [your pay link] If you've already paid, or want to talk about it, reply or call [office phone].

"Our records show" and "if you've already paid" do real work: payments cross in the mail. The late-fee sentence is copied from your rent roll word for word. If it uses words like eviction, court or collections, the recipe holds that tenant's reminder and asks you to send it by hand (PM3-04).

Template 3: partial payment

From PM3-03 (invented tenant):

Hi Ella, our records show $700.00 of March rent for 5-3A still open (due Monday, March 1). We've received $500.00 so far, thank you. Pay online: [your pay link] If you've already paid, or want to talk about it, reply or call (555) 555-0160.

Whether you must accept partial rent, and what accepting it means, depends on your state. The receipts recipe flags every partial payment to a manager instead of deciding (PM4-09).

Template 4: bank payment didn't go through

Stripe's ACH Direct Debit can take up to 4 business days to confirm success or failure (Stripe docs), so a failure can show up days after the tenant thought they paid. From PM4-08:

Hi Ben, your bank payment of $980.00 for March 2027 rent, unit 7-1A, didn't go through. Your bank may tell you why. You can pay again here: [your pay link] or call us at (555) 555-0160 if you want to talk it through.

No fee and no threat. Any returned-payment fee is your policy; say it in your own words, or in person.

Template 5: receipt

From PM4-01 (invented tenant):

Hi Rosa, thank you. We received $1,250.00 for March 2027 rent, unit 12-4B, on October 31, 2026. March 2027 rent is paid in full. Thank you! Reference: cs_test_rosa1

The recipe sends this only after Stripe's signed webhook says the payment succeeded (Stripe webhooks). For a bank payment still processing, the tenant hears "it can take up to 4 business days" instead (PM4-06).

Fees, in plain numbers

Worked example with invented inputs, from Stripe's US pricing page on October 31, 2026: a $1,250 rent paid by card costs 2.9% + 30 cents = $36.55; by ACH Direct Debit, 0.8% would be $10.00, so the $5.00 cap applies. Who pays the fee is your policy and your state's rules.

Testing and limits

Both recipes ran in n8n against local mocks of Stripe, Twilio, the email API and Google Sheets: 13 of 13 scenarios passed for the ladder and 14 of 14 for receipts, October 31, 2026. No real tenant, card or bank account was involved. See how we test and our texting consent page. Cash and checks must be entered in the ledger, or the tenant keeps getting reminders.
