Real Estate Agents problem 4: Open-house sign-ins never get followed up
Open-house sign-in to Follow Up Boss, with a thank-you and one follow-up
Visitors sign in on a tablet form (included). Each sign-in becomes a 'Visited Open House' event in Follow Up Boss, so the person is created or matched and your own action plan can pick them up. Two hours after the visit they get a thank-you email; a text only if they ticked the unticked-by-default consent box, inside quiet hours. Two days later at 10 am they get one follow-up, unless you've already talked to them. Visitors who say they work with another agent get a thank-you email only.
The problem
Open-house visitors are local and actively looking, but paper sign-in sheets often never reach the CRM. The figures below are from a trade-press report of an analyst's small test.
- Mike DelPrete's secret-shopper test, reported by HousingWire: about 42% of open-house visitors weren't asked for their contact details, and 62% of in-person shoppers got no follow-up after the tour. Source: HousingWire (Aug 2024) on Mike DelPrete's secret-shopper test of 100 listing inquiries and open-house visits (Trade press report of an independent analyst's test)
- Follow Up Boss Automations 2.0 does not fire on 'Visited Open House' events (only Action Plans do), so open-house sign-ins often get no automatic follow-up. Source: Follow Up Boss API: POST /events ('Visited Open House' triggers Action Plans but not Automations) (Vendor API documentation)
- Open-house sign-in apps (including ones built into CRMs) do much of this. If yours already follows up, you may not need this recipe. Source: Follow Up Boss help: Automations 2.0 overview (replacing Action Plans) (Vendor documentation)

Who it's for
US listing agents and buyer's agents who hold open houses and end up with a stack of sign-ins nobody follows up.
Tools and monthly cost
| Tool | Official price |
|---|---|
| Follow Up Boss (the CRM; API and webhooks included) | Grow: $69 / user / month, or $58 billed yearly. Pro: $499 / month for 10 users pricing page |
| Twilio US SMS, sent or received | $0.0083 per 160-character segment, plus carrier fees of about $0.0035-$0.005 per segment pricing page |
| Resend (sends the emails) | Free: 3,000 emails / month, 100 / day. Pro: $20 / month for 50,000 pricing page |
| Google Sheets (opt-out ledger, reply log, open-house and transaction lists) | Free with a Google account or your existing Google Workspace plan pricing page |
| n8n | Community Edition: free if you self-host (you pay for the server). n8n Cloud: from EUR 20 / month (Starter) or EUR 50 (Pro) pricing page |
Example month: Illustrative arithmetic. Assume 4 open houses a month with 15 sign-ins each: 60 thank-you emails and about 50 follow-ups fit Resend's free tier. If 20 visitors tick the consent box: about 40 texts and 10 replies = 50 segments x $0.0083 = $0.42 plus carrier fees, using the Twilio number from the lead recipe. About $1 a month plus your n8n server.
Setup
- Read the 'TCPA, Do Not Call, advertising and Fair Housing' section on the real-estate hub first.
- Host the included sign-in page (signin.html) on a tablet browser. It sends a form key (E4_FORM_KEY) and has a hidden company_website honeypot. Have your broker approve the consent wording next to the unticked text box; record its version in E4_CONSENT_VERSION.
- In Follow Up Boss, create an API key in the admin settings and register your integration to get an X-System name and X-System-Key (Follow Up Boss requires both headers on every API call). Set FUB_API_KEY, FUB_X_SYSTEM and FUB_X_SYSTEM_KEY. FUB_REQUEST_INTERVAL_MS paces calls; 429 replies are retried after Retry-After. Events are posted with source E4_SOURCE (default 'Open House'); keep E1_SKIP_SOURCES in the lead recipe the same so visitors don't get two replies.
- Texts need a Twilio number with an approved A2P 10DLC campaign (US carriers block unregistered business texts). Point the number's incoming-SMS webhook at 'mss-e1-sms' (one inbound handler writes the shared opt-out Sheet that every real-estate recipe checks) and set TWILIO_AUTH_TOKEN and PUBLIC_WEBHOOK_BASE so X-Twilio-Signature is verified.
- Set AGENT_NAME, AGENT_FIRST, AGENT_LICENSE, AGENT_PHONE, AGENT_MOBILE, AGENT_EMAIL, AGENT_TZ, BROKERAGE_NAME, BROKERAGE_LICENSE, OFFICE_ADDRESS and EMAIL_FROM from .env.example. Every message is signed with your name, license number, brokerage, phone and office address; ask your broker what your state requires. E4_THANKS_DELAY_HOURS (default 2), E4_FOLLOW_UP_DAYS (2) and E4_FOLLOW_UP_HOUR (10) set the timing.
- Sign in yourself on the tablet before the first open house. The workflow also has a manual 'run now' webhook used by our tests. Delete it, or put it behind n8n's header authentication, before you go live.

Test result
Every workflow was imported into n8n 2.45.4 and run end to end on our test machine. Follow Up Boss, dotloop, Google Calendar, Google Sheets, Twilio and the email sender (Resend, including its inbound webhook) were replaced by a local mock server built from their official API docs: it checks the same request shapes and required fields, enforces Follow Up Boss's rate limit (HTTP 429 with Retry-After), expires dotloop's access token so the refresh path runs, and records every call. Webhook signatures (Follow Up Boss FUB-Signature, Twilio X-Twilio-Signature, Resend/Svix) are really computed and checked. These recipes use no AI model; every decision is a written rule. Leads, clients, agents, brokerages and addresses are invented. Nothing was sent to a real phone, person or account.
6/6 scenarios passed (run 2026-10-28)
| PASS | O1 | Four sign-ins become Follow Up Boss 'Visited Open House' events; consent recorded only when the box was ticked; nothing sent yet |
| PASS | O2 | Honeypot, wrong form key, wrong-day sign-in and a double tap: all dropped |
| PASS | O3 | Before 2 h nothing; at 2 h: thank-you emails to all four, a text only to Ana (consent, no agent); Ben gets an agent-respectful note |
| PASS | O4 | Late sign-in at 18:30 (Eve, consent): thank-you email at 20:30, text held by quiet hours (TX spans Central and Mountain, so 9 am Mountain = 10 am Central): not at 9:05, sent at 10:05 Sunday |
| PASS | O5 | Monday 10 am follow-up: Ana email only (texted STOP), Cy and Eve follow up, Dee skipped (agent made contact), Ben nothing; call tasks added |
| PASS | O6 | Later ticks: nothing more (max two touches) |
Actual output from the test run
Scenario O3: thank-you email two hours after the visit, and the text sent only to the visitor who ticked consent (invented visitors). Names and numbers are invented.

Verified with mocks
- Four sign-ins become Follow Up Boss 'Visited Open House' events; text consent is recorded only when the box was ticked; nothing is sent during the open house.
- Honeypot, wrong form key, wrong-day sign-in and a double tap are all dropped.
- Two hours later: thank-you emails to all four; a text only to the visitor who ticked consent and has no agent; the visitor with an agent gets a respectful email only.
- Late sign-in at 6:30 pm: email at 8:30 pm, text held by quiet hours. Texas spans two time zones, so the text waits until 9 am Mountain (10 am Central).
- Follow-up two days later at 10 am: a visitor who texted STOP gets email only; a visitor the agent already reached is skipped; call tasks are added in Follow Up Boss. No third touch, ever.
- Verified with mocks; fictional people only.
Documented from official API docs only
Built to the vendor's documentation but not run against a live account. Check these on yours.
- Follow Up Boss POST /events with type 'Visited Open House' (creates or matches the person, and Action Plans can trigger on it) (from Follow Up Boss's API docs; not run against a live account).
- Twilio and Resend send APIs (from their docs).
Limitations
- A visitor who says they already work with an agent gets one thank-you email and nothing more. Don't change that to solicit them; see NAR Standard of Practice 16-13 and your local rules.
- The tablet form needs internet at the house. Paper sign-ins must be typed in later.
- Built for Follow Up Boss only. kvCORE/BoldTrail, Lofty, Sierra and other CRMs are not built, and we make no claim that this works with them.
- Not legal advice and not a compliance guarantee. We designed around the TCPA (texts only with recorded written consent, 8 am-9 pm in the lead's time zone, STOP honored at once), CAN-SPAM and state advertising rules (every message names you and your brokerage), but whether your use is lawful depends on your consent wording, your lead sources, your state and your broker's policies. Have your broker or a lawyer review the wording before you turn it on.
